Spring 2025 College of Science Virtual Academic Advising & Course Registration Timeline

Upon Acceptance: Begin to complete the College of Science steps below.

December 4: First-year and Transfer students will receive an email from the College of Science with a timeline of virtual academic advising and course registration with action items to be completed prior to your academic advising appointment.

December 4 : First-year and transfer students will receive access to the College of Science Spring 2025 Virtual Academic Advising & Course Registration Canvas page with instructions on how to use Hokie Scheduler (Virginia Tech’s course registration system).

December 6: First-year and Transfer students will receive an email from your academic department informing you how to schedule an academic advising appointment.
Tools Needed:
Computer and Zoom downloaded on your computer, please click the link to download Zoom well in advance of your scheduled academic advising appointment.

December 9: Attend a mandatory virtual academic advising appointment for your major, dates may vary by major.

January 21: Spring 2025 classes begin!

January 27: Last day to add classes to your Spring 2025 schedule.

Step 1: Begin with Technology

1. CREATE YOUR VIRGINIA TECH USER ID: This will be your Virginia Tech username and email address.
(Allow 24 hours before completing the remainder of this checklist)

2. ENROLL in the 2-Factor Authentication with Duo.

3. DOWNLOAD the DUO Mobile App on your personal smartphone and enroll your device.

4. ACCESS, READ, USE your VT Google Apps Email daily.
Your VT Email is how the college and your academic advisor will communicate with you.

5. ADD your VT email to your personal smartphone that you will be using.

6. SIGN UP to receive VT Alerts for your phone.

7. DOWNLOAD Adobe Acrobat Reader DC on your computer for FREE You will need this software when completing the College of Science Expected Courses/Credits Worksheet in Step 3 and other forms at the university.

Step 2: COMPLETE THE VT ALEKS PLACEMENT ASSESSMENT

All College of Science majors except for Psychology majors

*Psychology majors skip to step 3

The VT ALEKS placement assessment is used to determine eligibility to enroll in MATH 1225 (Calculus of a Single Variable) and CHEM 1035 (General Chemistry). It is designed to determine what you know and what you need to work on; you do NOT need to review/study for the assessment. At the end of the assessment, you will have a much better sense of your strengths and weaknesses and have a chance to brush up on topics that may have been forgotten or haven't been practiced for some time. You will have three attempts to attain the score needed.

Take the placement assessment as soon as possible, one assessment is used to qualify students for eligibility in these courses. Access to ALEKS is available now and is offered free of charge for Virginia Tech students. All College of Science majors (except psychology majors) should complete the ALEKS assessment, regardless of anticipated AP, IB, CLEP, Cambridge, or other transfer credits.

Step 3: TRANSCRIPT & EXPECTED CREDITS

1. Send all official high school, college, and university transcripts
All transcripts should be sent to the Office of Undergraduate Admissions through electronic transfer (i.e., Parchment) or through mail to the below address.

Transfer students need to send their high school transcript if they completed 2 years of a single foreign language in high school.

 

2. SUBMIT your expected credit scores to Virginia Tech.

Expected Credits How to Submit to Virginia Tech

Advanced Placement (AP)

Scores must be sent to Virginia Tech from CollegeBoard by entering Virginia Tech's School Code #5859. They will submit them electronically.

Transfer students must also submit AP scores from CollegeBoard as your prior institution(s) transcript will not include those scores.



College Level Examination Program (CLEP) Scores must be sent to Virginia Tech from CollegeBoard by entering Virginia Tech's School Code #5859. They will submit them electronically.

Dual Enrollment (DE) /Transfer

Official transcripts for dual enrollment courses or courses taken at other universities must be submitted to Virginia Tech. Your high school does not send dual enrollment credits and you MUST request an official transcript from the university the courses were taken.

You can request the official transcripts from most university websites and have them sent electronically to Virginia Tech and have them emailed to admissions@vt.edu.

International Baccalaureate (IB)

Scores must be sent from www.ibo.org by entering Virginia Tech's School Code #5859. They will submit them electronically.

Cambridge International Exams

Scores must be sent from Cambridge Assessment International Education or other designated testing agency to Virginia Tech's Office of the University Registrar.

If you are unable to submit the official scores in an electronic format, please have the official scores mailed to:

3. LOOKUP how your expected courses and credits may transfer to Virginia Tech and indicate the Virginia Tech Equivalent on the College of Science Expected Courses/Credits Worksheet.

*If you are not expecting any expected credits, please still fill in your information on the worksheet and upload it to the College of Science Document Submission Portal below.

 

4. UPLOAD your completed College of Science Expected Courses & Credits Worksheet along with your unofficial transcript(s) to the College of Science Pre-Advising Intake Form Portal.

 

5. VERIFY Your processed scores and transcripts

You can verify when Virginia Tech has processed your college transcripts/score reports on Hokie Spa. Log into Hokie Spa > click Grades Menu > click Transfer and Other Additional Credits.

Step 4: REGISTERING FOR COURSES

 

1. PREPARE for Class Registration through your Hokie Scheduler in Hokie Spa

  1. Click Hokie Spa
  2. Click Hokie Scheduler
  3. Select the Spring 2025 term and click Save and Continue
  4. Select the Blacksburg campus and click Save and Continue
  5. Complete any Action Items it requests such as updating: Emergency Contact Address, Emergency Contact Confirmed, FERPA Release, VT Alerts, Self-Disclosure of Arrest/Conviction, and Student Financial Responsibility

 

2. EXPLORE courses required for your major to get an idea of what you may already have credit for and classes you would need to complete in the future. Visit catalog.vt.edu > click Programs > checkmark Undergraduate in the Academic Level/Program Type box > search for your major.

 

3. SCHEDULE YOUR VIRTUAL ACADEMIC ADVISING & COURSE REGISTRATION APPOINTMENT with your academic advisor.

 

4. ATTEND THE VIRTUAL ACADEMIC ADVISING & COURSE REGISTRATION appointment via Zoom on a charged computer. DO NOT use a phone as you will be sharing your screen during your academic advising and course registration appointment.

We encourage students to attend this academic advising appointment individually without others or members of your support team so our academic advisors and students can connect with each other.
